Action Lists generate a special type of Work Order providing for an electronic checklist accompanied by procedural and technical documentation. This CMMS feature is used for defining preventive maintenance and inspections of Places (buildings, areas, rooms, parking lots, etc.) and the Things contained within those Places. The screenshot below is an example of how the electronic checklist is constructed by managers and administrators. This shows one of the types of Action List items which define an acceptable range. Other types of Action List items include drop down selectable lists (defined by administrator), and simple check off boxes.
Action List items are selected and matched to Places and Things to be inspected.
Items on the Action List have a short description to make them easy to use on smart phones and tablets, and an optional extended description for less experienced staff.
Below is a completed checklist. Clicking the Notes icon opens a box for the inspector to enter an explanation of a failing condition, which can optionally trigger a notification to selected people.
Pictures can be attached to any item on the checklist. This can save the technician from writing long explanations of issues, when a picture tells the story (don't it). Technicians using a smartphone or tablet can take a picture while filling out the form. Desktop and notebook users can browse their file system.
Action Lists can facilitate both preventing and predicting failures. Inspections can help identify deterioration of operating characteristics. Action Lists help maintenance managers define and schedule the type of inspections that capture warning signals. Failure of selected items on the electronic checklist can automatically trigger work orders for follow-up remediation.
